STATUS Full-Time Non-Exempt, Eielson Air Force Base

Basic Job PurposeUnder the direct supervision of the Program Director, the Program Coordinator provides administrative support and program assistance for the ASYMCA and its staff in order to fulfill our mission of enhancing the lives of military members and their families in spirit, mind and body through programs relevant to the unique challenges of military life.

Functions and Duties:

  • Welcome guests to the Welcome Center, direct them to appropriate staff member, address program and service inquiries and provide customer service
  • Maintain professional appearance of the welcome center, coffee station, and reception area by wiping surfaces, making coffee, sweeping floors and other tasks as needed
  • Correspond with program participants via e-mail, telephone and in person
  • Fax, make copies, scan, send and mail documents
  • Receive, track and record In-Kind and monetary donations
  • Gather and maintain program and facility use statistics and reports
  • Register participants for programs and volunteer opportunities using a cloud based software system
  • Maintain supplies and shopping lists
  • Operate established programs and services to include Food Pantry, Teddy’s Child Watch, Snack Attack, etc.
  • Assist in representing the ASYMCA during informational fairs and meetings to include association, council, Board, and community meetings.
  • Assist Program Director with developing new programs for our military communities
  • Other duties as assigned to aid in delivering quality programs and services to military families in the Fairbanks community.
  • Ensure a safe and clean environment and provide activities for TCW participants

Working Conditions:

  • Office environment using computer, scanner, fax machine, cash register and copier.
  • Standing for extended periods of time during programs and special events
  • Active movements required to assist with family activities and events.
  • Ability to work under pressure, work with the Associate Executive Director, Program Director, Executive Director, Board Members, military personnel, community and philanthropic organizations, staff and volunteers.
  • Physical demands are sitting at a desk, standing at informational booths, stretching and bending, reaching overhead and the ability to lift up to 30 pounds.

Qualifications:

  • High School diploma or equivalent.
  • Two years of experience in an administrative support position, coordinating events, programs and services.
  • Must be customer service oriented with good phone and interpersonal skills.
  • Must be able to type proficiently and have knowledge of MS Word, Excel, Power Point and Outlook.
  • Must possess multi-tasking abilities with excellent organization and planning skills.
  • Must be able to function in various work environments to include but not limited to, office/administrative areas, child care facility, indoor and outdoor program spaces.
  • Must be able to work with minimal supervision and prioritize work assignments with minimal guidance.
  • Must be able to work individually and as part of a team.
  • Must be able to operate standard office equipment including but not limited to copiers, scanners and facsimile machines.
  • Basic cash handling experience preferred.
  • Experience working with military families preferred.
  • Must have a valid driver’s license and clean driving abstract.

Post Hire Requirements:

  • Successfully pass a background check.
  • May occasionally be expected to work at special events outside normal business hours, including some weekends and evenings.
